Document Management is a seamless extension of using the system.
Instead of being a separate step, Document Management is simply part of the process; from accepting the patient, delivering equipment, sending Claims and responding to Audits.
The next step may be to contact the patient and/or responsible party to gather Payor information. At the same time you are entering the information, you can request a Patient Eligibility for Medicare, Medicaid or other 3rd Party Payors, so you can see if they have the coverage they think, and the amount of their deductibles, etc. This is saved in the Patient Chart for later review.
For example, your referral source calls with a new patient needing an Oxygen Concentrator. Your company has clearly defined criteria for the questions which should be asked and the acceptable answers, and this is documented by the Intake Form: Oxygen. This insures that everyone is asking the correct questions and provides a convenient place to document the initial conversation. It also contains the acceptable criteria for coverage, as there is no reason to continue if the patient does not meet requirements for coverage, and does not wish to pay privately. This also initiates the Order process, so your Orders never “fall thru the cracks”.
Then you might want to check if the patient has had similar equipment recently using our One-Click Same-or-Similar check. Again, there’s no sense in providing equipment for which you will not be paid. This is also saved in the Patient Chart for later review.
Print the Authorization Documents
Whenever you order an Oxygen Concentrator, the system knows you need a Oxygen CMN when Medicare is the primary Payor. So, the system automatically selects the Oxygen CMN to be printed as the Authorization Documentation to be sent to the Physician’s office. The system tracks this outstanding Order and alerts you if the Physician takes too long to return the document.
Scan the signed Delivery Ticket
Audits now routinely check delivery signatures. Scanning Delivery Tickets makes finding them later so easy.
Scan the Returned Authorization Documents
However, once he or she does, the user would scan the barcode at the bottom of every CMN (Physician Orders as well), which will automatically pull up the correct Patient and Document in the system. The user would enter the CMN answers in the system and scan the CMN which will be attached directly to the Patient and Document for retrieval at a later time.
Automatic Release to Bill
If the CMN was the final item holding the Order from being billed, the system will automatically release it to be billed, if desired.
Claims are Audit Ready
Should you ever be audited on this Claim, you can always select the Patient and Notes tab, and there will be all the CMNs, Physician Orders and other notes in the Patient Chart, ready to be printed and sent.
